Autism Assistance Dogs Ireland is a growing organisation committed to transforming the lives of children with autism by training and placing internationally accredited autism assistance dogs.  

We are currently recruiting a Temporary Executive Assistant to provide cover for Maternity Leave, with a start date in mid April.  This role reports directly to the CEO.   This is a part time position, 24 hours a week with a salary scale of €30,000 - €35,000 pro rata.

The Role

As a growing organisation you will assist with the development of the charity. 

Primary responsibility of supporting the CEO ensuring company goals and objectives are accomplished, and operations run efficiently.  There are a number of ongoing projects to manage and contribute to, following an office relocation.

Assist with the HR functions of the company; introduction of new policies, recruitment and, updating and maintaining HR documents, such as timesheets and holidays.

H&S coordination including presentations/instruction at staff meetings and arranging of training courses and equipment services.

Management of the charities fleet of vehicles including insurance, tax, fuel cards and monitoring.

Ensure the smooth running of the office; facilities management, ordering stationery, liaising with vendors etc

Maximise use of CRM including staff training, creating reports for Board Meetings etc.  Liaise with the operational staff and the software company to review usage of the CRM and develop efficiency of the processes within the program.

Exercise sounds judgement when making decisions, whilst maintaining the highest degree of confidentiality and professionalism.

Skills and Qualifications

The ideal candidate will have 2 years experience in an administrative role, reporting directly to management.

They will be a highly organised individual who can think on their feet, possessing the ability to anticipate what needs to be done and work independently.

Pragmatic approach to work with exceptional verbal and written communication skills and meticulous attention to detail.

Creative thinking and initiative to follow through implementing solutions (problem solving skills).

Possess the confidence to communicate effectively with members of the public, suppliers, volunteers and staff members.

Strong time-management skills and the ability to organise and coordinate multiple projects at once.

Proficiency in Google G-Suite and other office productivity tools, with aptitude to learn new systems.

Experience of proof-reading, minute taking and audio typing documents with an efficient typing speed. Have an understanding of the GDPR legislation and must work with a great deal of integrity.

Have a demonstrated ability to deal appropriately with confidential and sensitive information as the successful candidate will be handling sensitive data and information relating to clients, staff and the organisation.

Preferred Qualifications

Experience overseeing budgets and expenses.

Experience developing internal processes and digital filing systems.

Please note: Candidates must be comfortable being in close proximity to dogs as there will be dogs in the office.
