Help keep a life-changing charity running smoothly
Are you organised, adaptable and happiest in a role where no two days are the same? Autism Assistance Dogs Ireland (AADI) is looking for an Internal Operations Assistant to join our head office team in Little Island, Cork.
Founded in 2010, AADI is a national charity whose mission is to change the world for autistic children. We train and place internationally accredited assistance dogs and school support dogs, providing safety, companionship and greater independence for children and their families.
Behind every successful placement is a team keeping our operations running smoothly. In this varied role, you will provide practical and administrative support across our office, facilities, fleet and programmes, helping colleagues deliver our mission.
About the role
Working closely with the Client & Internal Operations Manager, you will be part of a shared operations team. You may have regular areas of responsibility, but you will receive cross-training across the role so that team members can support one another and provide cover during holidays, absences and busy periods.
Your responsibilities will include:
Office and team support: Handling phone and email enquiries, welcoming visitors, organising meetings, taking minutes and assisting with travel, accommodation and events.
Facilities and fleet administration: Coordinating suppliers and contractors, supporting building maintenance, and keeping vehicle servicing, insurance and other fleet records up to date.
Stock and equipment: Monitoring supplies, dog food and equipment, maintaining stock records and carrying out regular stocktakes.
Programme administration: Supporting our Dog Training, Puppy Scheme, Breeding and School Support Dog teams with administration, data entry and accurate record-keeping.
Staff and compliance support: Helping maintain health and safety records, timesheets, annual leave records, staff training logs and IT equipment inventories.
Practical operational support: Lending a hand with event setups and occasional cover across our charity facilities, including the Dog House, when needed.
About you
You will bring:
At least 2 years’ experience in office administration, customer service or operational support.
Ability to work independently and take initiative to improve operational efficiencies where possible.
Strong organisational skills, attention to detail and the ability to prioritise changing daily demands.
A flexible, collaborative approach and a willingness to learn and support a range of duties.
Professional, empathetic communication skills when dealing with families, colleagues, suppliers and the public.
Confidence using Google Workspace, including Gmail, Sheets, Docs and Drive, and learning new database systems.
An understanding of the importance of confidentiality and accurate record-keeping.
A full driving licence.
Experience of stock management and vehicle fleet management would be an advantage.
You must be comfortable working around dogs, as they are present in the office daily.
How to apply
Please send your CV and a cover letter outlining your suitability for the role to fiona@aadi.ie, using “Internal Operations Assistant” as the subject line.
